How follow-up automation works
A scheduled workflow checks who is due a follow-up and works through the list one contact at a time.
- Find the next send. Every few minutes, the workflow picks the next contact whose follow-up is due.
- Check for a reply. If they've replied, the sequence holds and your team is notified.
- Send. If not, the follow-up goes out from your inbox, in the same thread.
- Log it. Every send and every reply is recorded, so you can see where each conversation stands.
Follow-up emails that stop when someone replies
Every send first checks whether the contact has replied. If they have, their sequence stops and your team is notified, so nobody gets a follow-up after they've already answered.
Gmail follow-up automation
In Gmail, follow-ups go out in the same thread as your first email, with your signature, so they read like you sent them yourself. In our own agency, the follow-up flow sent 22 check-ins one morning, three brands replied that day, and one of them sent a brief.
Automated follow-ups without hurting deliverability
To protect deliverability, send automated follow-ups slowly and from a real inbox. Our rule is a safe 20 emails a day per inbox, spaced 5–7 minutes apart so Gmail never sees a burst, and nothing goes to anyone who has replied.
AI can draft each follow-up, but a person reviews and clicks send. Anything your customers see waits for that click.
How much does it cost?
Projects start at $1,000, and most cost between $3,000 and $10,000. The price is fixed and agreed before any work starts. Sending from your own inbox costs nothing extra.
